Space Planner / Moves Manager
Location: Santa Clara, CA (Onsite)
Duration: 4-Month Contract (potential to convert to permanent) Hours: 9 AM 5 PM (may include extended hours, evenings, and weekends to meet deadlines) About the Role - Oversee a team responsible for delivering all move and change activity services efficiently and effectively on behalf of clients.
- Manage weekend and after-hours move projects, as large relocations typically occur outside of normal working hours.
- Position is part of the Moves, Additions, and Changes (MAC) function.
Key Responsibilities Move & Relocation Project Management - Manage moves, relocation projects, schedules, and budgets; provide reports and escalate issues as needed.
- Lead RFQs/estimates and scheduling for small, medium, and large moves requiring external vendors.
- Oversee clean-up and schedule cleaning before and after moves/reconfigurations.
- Audit relocation/reconfiguration work out-of-hours to ensure smooth client occupation.
- Respond to last-minute relocation/change requests to maximize space utilization.
- Serve as Point of Contact (POC) for all move-related activities and communications.
Communication & Coordination - Liaise with internal teams and external vendors for effective communication and coordination.
- Attend planning meetings; schedule and coordinate work.
- Oversee company processes including client meetings, finances, health & safety, and contractor support.
Procurement & Vendor Management - Submit purchase requests and obtain purchase orders.
- Track POs and vendor invoicing.
Inventory & Furniture Management - Partner with the warehouse team to maintain accurate furniture inventory.
- Conduct audits and ensure inventory accuracy.
- Act as POC for onsite furniture inventory.
Back-Up Support for Client MAC Coordinator - Provide backup support for MAC scheduling, daily moves, and team coordination.
- Print and install name tags for moves.
- Support team management: scheduling, task assignment, cross-training, mentoring, and coaching.
Documentation, Compliance & Auditing - Ensure documents, drawings, and standards meet regulatory compliance.
- Conduct regular workstation audits (people locations, flex desk setup, furniture usage/repairs).
- Troubleshoot and resolve day-to-day operational issues.
Must-Have Qualifications - Experience in the areas of staffing, selection, training, development, coaching, mentoring, measuring, appraising, and rewarding performance and retention preferred.
- Ability to guide the exchange of sensitive, complicated, and difficult information, convey performance expectations and handle problems.
- Leadership skills to motivate team impact on quality, efficiency, and effectiveness of the job discipline and department.
- Extensive organizational skills with a strong inquisitive mindset.
- Advanced math skills. Ability to calculate difficult figures such as percentages, fractions, and other financial- related calculations.
Years of Experience: 3-5 years of relevant experience. in lieu of a degree, a combination of experience and education will be considered.
Education: Bachelor's Degree
Software Skills - Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with basic computer functions.
- SAP and CAD design software experience is a plus.
